How Leasana works: rent, lease or rent out equipment
Leasana is an equipment rental and leasing marketplace with a built-in CRM. Rent machinery and tools for a short-term project, lease a complete equipment package long term to start, support and develop your own business, or invest in equipment and rent it out securely to verified partners with contracts, advance invoices and escrow handled online.
For renters: short-term projects
Excavator hire for a weekend dig, a lift rental for a facade job, power tools for a renovation. Rent exactly what the project needs, for exactly as long as it needs it.
Search and compare
Filter by category, city, dates and daily rate. Every listing shows photos, specifications, availability, delivery options and reviews from previous renters.
Request or instant book
Pick your dates and get a full price estimate with delivery and protection plan. Send a booking request the owner answers within 24 hours, or book instantly where the owner allows it.
Sign the contract and pay the advance
A rental contract is generated automatically and both parties accept it online. The advance invoice is paid before handover and the money stays in escrow until the rental is completed.
Pick up or delivery, return, review
Collect the equipment or have it delivered, use it, return it. The final invoice and receipt are issued automatically and you leave a review that helps the next renter.
For entrepreneurs: long-term business lease
Start a business without capital tied up in machines. Lease bakery ovens, salon chairs or café equipment for months at a time and pay for them from what they earn.
Choose the equipment package
Bakery ovens and mixers, salon chairs and wash units, espresso machines and grinders, workshop tools. Combine listings from verified owners into the setup your business needs.
Agree 3+ month leasing terms
Long-term listings carry monthly rates for leases of three months or more. Pay in advance, or as a registered business choose postpaid B2B invoicing with VAT details on every document.
Start operating, upgrade when you grow
Open the bakery, the salon or the café with leased equipment from day one. When demand grows, lease a bigger oven or a second chair instead of buying.
Extend or return
At the end of the term extend the lease, switch to different equipment or return it. Nothing sits on your balance sheet that your business no longer needs.
For equipment owners: invest and rent out securely
Earn from idle machinery or invest in equipment as a business. Leasana brings you verified renters, generates the contracts, collects the advance and keeps the customer relationship in one CRM.
List with photos and rates
Add the equipment with photos, specifications, daily, weekly and monthly rates, delivery radius and quantity. The free tier lets you list up to three items.
Get verified and set availability
Verified organisations get a badge that renters trust. Block maintenance days in the availability calendar and enable instant booking where you want it.
Accept requests, contract and advance invoice
Accept a booking and Leasana generates the contract from your template and issues the advance invoice in the same step. Equipment is released only after both signatures and the advance payment.
Escrow release, receipts, CRM follow-up
When the rental is completed the escrowed payment is released to you minus the platform commission, receipts are issued, and the renter lands in your CRM with notes and follow-up reminders.
Trust and safety
Renting out a machine worth tens of thousands to someone you have never met needs more than a handshake. Every rental on Leasana runs through the same safeguards.
-
Verified partners
Owner organisations submit their registration and VAT details and are verified by the Leasana team before they get the verified badge.
-
Click-wrap contracts with IP audit
Each booking gets a contract both parties accept online; the timestamp and IP address of each acceptance are recorded with the booking.
-
Advance invoices and escrow
The renter pays an advance invoice before handover; the amount is held in escrow and released to the owner only when the rental is completed.
-
Reviews on both sides
Completed rentals can be reviewed, so owners and renters build a reputation that the next partner can check before booking.
-
Support role
A dedicated support role can review any booking, contract and invoice to help resolve disputes, without the power to change your data.
Frequently asked questions
Who can rent equipment on Leasana?
Anyone with a free account: private individuals for a weekend project, contractors and companies for their sites, and entrepreneurs who lease a full equipment package for a new business. Companies can mark their account as B2B to unlock postpaid invoicing.
How does payment work?
When a booking is confirmed an advance invoice is issued. You pay it before handover and the amount is held in escrow. After the rental is completed the final invoice is issued, the advance is credited against it and the owner receives the payout. Every payment produces a receipt.
What happens if I cancel late?
Cancelling a confirmed booking outside the refund window (48 hours before the rental starts by default) refunds the advance in full. Cancelling inside the window forfeits the advance as a cancellation fee. Owner cancellations and unanswered requests are always refunded in full.
Can my company pay after the rental (postpaid B2B)?
Yes. Accounts flagged as B2B can choose postpaid terms when booking: no advance, a single final invoice with VAT details due within the agreed number of days after completion.
Which currencies are supported?
Listings are priced in USD or EUR by the owner, and subscription plans are billed in USD, or in EUR for customers billed in the EU. Invoices and receipts show the currency of the booking.
Do I need photos to list equipment?
Yes. A listing is saved as a draft until it has at least one uploaded photo; the first photo publishes it. Renters see what they are booking and owners get far fewer questions.
What do the subscription plans include?
The free tier lets owners list up to three items. Business raises the limit to 16 listings and adds basic CRM and B2B invoicing; Unlimited removes the listing cap and adds the full CRM with follow-up reminders. Renter+ gives renters extra booking benefits.
How do I contact an equipment owner?
Use the Contact owner button on any listing to open a message thread. Once a booking is confirmed the owner's contact details are shared with you and every message stays in the same thread.
